HOPE International's Events Specialist is responsible for planning and executing select internal and external events, and events in collaboration with partner organizations or networks.

The events specialist is responsible for planning and executing select internal and external events, and events in collaboration with partner organizations or networks. Competent in cross-departmental collaboration, independent event planning, and project management, the events specialist primarily supports Advancement initiatives serving a U.S.-based audience. Additionally, the events specialist is responsible for coordinating HOPE network and partner events while providing event planning support to select HOPE events. The events specialist will be responsible for special projects for the experience department or Advancement global function as assigned.

Responsibilities
- Promote and contribute to the fulfillment of HOPE International’s mission and vision through the creation of engaging events and experiences that lead to a deeper engagement with the work of HOPE International
- Support HOPE network and partner events
- Work with executive, Advancement, and marketing teams to create a meaningful guest experience from conception to completion; identify themes and initiate content planning for network and partner gatherings that are aligned with the organization's mission, vision and values
- Coordinate all logistics and event planning for assigned HOPE network and partner events
- Provide administrative support to the experience department and Advancement global function including project management (Asana), event systems management (GoFundMePro), database support (Salesforce), and content creation
- Deliver services and goods relevant to each event (ex. facilities, catering, media, audio visual, promotional suppliers, etc.)
- Identify and secure speakers and entertainment, and facilitate integration into events
- Manage registration systems as well as pre- and post-event communications with event attendees
- Track vendor payments and other event expenses, revenue, and sponsorships to effectively manage budget and track fundraising goals of each event
- Recruit, train, and lead volunteers to aid in the overall efficiency of event production
- Works with marketing team to concept collateral and establish production/lead time requirements for projects such as promotional materials, event graphics, registration and tracking systems, data collection, and décor
- Establish event-related marketing projects in coordination with the marketing team, including appropriate information prior to project start date and event updates throughout the project timeline
- Lead strategic and ad hoc initiatives as assigned by leadership, delivering high‑priority projects from concept through completion
- Organization-wide event support
- Coordinate logistics as directed in support of major HOPE fundraising events or regional community events, often collaborating with the local development representative and church representative
- Project manages content creation including establishing content development plans and deadlines, coordinating speakers, providing scheduling support for speakers, supporting marketing-related content projects
- Provide strategy and event planning support to major HOPE events including the bi-annual supporter weekend, major regional events, and other experiences as assigned
- Ensure proper brand representation, presentation, and message preparation on behalf of HOPE International at all assigned events and experiences
- Develop detailed event timelines, run‑of‑show documents, and project plans
- Oversee end‑to‑end budgeting and financial management for select events, including developing and monitoring budgets, tracking expenses, and ensuring cost‑effective decisions
- Attend bi-weekly experience team meetings, monthly staff meetings, and weekly staff prayer & devotions
- Special projects as directed by the associate director of HOPE experiences
Qualifications
- Personal confession of Christian faith and commitment to the mission and vision of HOPE International
- Three plus years of event planning experience
- Nonprofit event experience strongly preferred
- Experience managing external vendors or complex logistics
- Demonstrated project management skills
- Strong organizational skills, including effective time management and prioritization of competing demands and deadlines
- Strong attention to detail, including analytical and problem-solving skills
- Prior experience with softwares including Microsoft suite, Salesforce, Asana, and GoFundMePro
- Occasional travel, evenings, or weekends when necessary
- Collaborative attitude that can work well on a team
- Excellent oral and written communication skills
- Must be able to lift up to 50 lbs
